Booking a meeting room via Outlook

Adding a meeting room's calendar to check it's availability

  1. Open Microsoft 365 Outlook
  2. Click on the Calendar icon
     (this may be on the bottom left or top left of the application depending on which view you're using.)
     --> or
  3. Click on Add Calendar in the ribbon and select "From Room List..." from the dropdown list. 
     
  4. Double click on the room you want to add and click OK.

Now you can check the availability of this room.


If you are done with checking the availability and you don't want to see the calendar for the meeting room in your calendar view, you can uncheck the meeting room in the list of the Shared Calendars on the left.

Booking a room for a meeting

  1. Click on “New meeting” in the ribbon and select New Meeting from the drop down list.

  2. Fill in the required information of the required and optional attendees where needed.


    Notes
    If no teams meeting information is shown in the content of the meeting,
    click on the Teams Meeting button in the ribbon to generate this information and have it added to the meeting content.


  3. Check and add the meeting room here with the option Room Finder
          
    1. Select the building in which the meeting room is located and select your room from the list.
      (Outlook will check it's availability based on the time frame you have set earlier.)

  4. Click "Send" and if the room is available, it will be booked in a couple seconds.
    You will recieve a mail notification whehter your meeting request to the room was accepted or not:


Booking a meeting via Teams

  1. Open up the Calendar tab in teams.
  2. click on "New Meeting" on the top right corner.
  3. Fil in the information for the meeting as needed.
  4. Put your cursor in the filed for location and wait a little bit. A drop-down list of the buildings will appear.
    Click on the building your room is in and select your room in the next list that shows up.

    It already shows the room's availibility for the time frame your have set up.
  5. Click on Send to create the meeting with the invite to all attendees.


    The new meeting will already show up in your calendar and you will recieve a mail notification whether the meeting is accepted by the room or not.
